I. Selecting Compliant Furniture Suppliers
1. Supplier Type Selection (Priority Order)
- First Choice: Source furniture manufacturers with their own physical factories. The price and quality are more controllable and customizable, and the Minimum Order Quantity (MOQ) is negotiable.
- Pitfall Avoidance: Avoid shell companies without physical entities or qualifications, especially those that only send pictures but not factory videos, offer quotes far lower than the industry average, and fail to provide any qualification documents.
2. Qualification Verification (6 Must-Check Items)
- Basic Qualifications: Business License (must include the business scope of “furniture production/sales” and be within the validity period), Tax Registration Certificate, and Organization Code Certificate. The authenticity can be verified on China’s “National Enterprise Credit Information Publicity System.”
- Production Qualifications: Furniture Production License, and workshop production environment certification (such as ISO9001 Quality Management System Certification).
- Export Qualifications: Record Certificate of Import and Export Operation Right, and Customs Registration Certificate.
- Product Certification: Certification types required according to the destination country (such as EU CE Certification, US CARB P2 Certification, UK UKCA Certification). The basic domestic certification must include the “China Environmental Label Product Certification.”
- Quality Inspection Report: Third-party product inspection report within the past year, including inspection items (such as formaldehyde emission, heavy metal content, load-bearing performance), and the inspection agency must have CNAS qualification.
- Cooperation Cases: Request the supplier to provide cross-border cooperation cases from the past 1-2 years.
3. Strength Verification
- Video Factory Inspection: Request the supplier to conduct a real-time live broadcast of the factory, focusing on the production line, warehouse, and quality inspection links.
- On-Site Factory Inspection: If the order amount is ≥ 50,000 US dollars, it is recommended to arrange personnel for on-site factory inspection, focusing on verifying the factory scale, number of employees, workshop area, production equipment, raw material inventory, and quality inspection records.
- Sample Verification (Mandatory for All Orders): First, ask the supplier to send samples. For large orders, it can be agreed that “the sample fee will be refunded after placing the order.” After receiving the samples, you can test them yourself or entrust a third-party agency for testing. After the samples are qualified, sign a “Sample Confirmation Form” as the standard for bulk goods acceptance.
II. Strictly Control Product Quality
1. Material Confirmation
(1) Wooden Furniture (Wardrobes, Dining Tables, etc.)
Core material requirements must be written into the contract: 1. Board Type: Clearly specify solid wood (such as ash wood, oak, with origin indicated), particle board, or MDF (medium-density fiberboard). Avoid passing “solid wood veneer” off as “pure solid wood”; 2. Environmental Protection Level: Clearly specify E0 level (formaldehyde emission ≤ 0.05mg/m³) or E1 level (≤ 0.124mg/m³), and prioritize E0 level; 3. Thickness: For example, the thickness of wardrobe boards ≥ 18mm, the thickness of table tops ≥ 25mm, and the thickness of load-bearing parts ≥ 30mm.
(2) Fabric Furniture (Sofas, Bedding, etc.)
Core material requirements must be written into the contract: 1. Fabric: Clearly specify the fabric material (such as cotton and linen, technical fabric, leather; for leather, indicate whether it is top-grain leather, split leather, or artificial leather) and fabric weight (≥ 300g/㎡ for better wear resistance); 2. Filling: Clearly specify sponge (density ≥ 30kg/m³, rebound rate ≥ 40%) or down (down content ≥ 80% must be indicated) to avoid inferior filling; 3. Frame: Solid wood frame (such as pine, birch).
Pitfall Avoidance: Request the supplier to provide fabric color cards to confirm no color deviation; the sample can be cut open to check the filling and verify consistency with the agreement.
(3) Metal Furniture (Chairs, Shelves, etc.)
Core material requirements must be written into the contract: 1. Metal Material: Clearly specify stainless steel (304 material, corrosion-resistant), iron pipe (thickness ≥ 1.2mm), or aluminum alloy (thickness ≥ 1.5mm); 2. Surface Treatment: Electroplating (no oxidation, no paint peeling) or plastic spraying (coating thickness ≥ 0.1mm, no scratches); 3. Load-Bearing Capacity: For example, chair load-bearing ≥ 150kg, shelf load-bearing ≥ 200kg per layer.
2. Process Standards
- Edge Banding Process: The edge banding of wooden furniture must adopt “laser edge banding” or “hot melt adhesive edge banding.” The gap between the edge banding and the board ≤ 0.1mm, without edge warping, no glue detachment, and the edge is smooth without burrs; the “edge banding process type + gap standard” must be clearly specified in the contract.
- Splicing Process: The splicing of solid wood furniture must adopt tenon-and-mortise structure (more firm) to avoid simple nailing.
- Paint Baking Process: The surface of paint-baked furniture must be smooth and flat, without sagging, no bubbles, and no color deviation; the paint hardness ≥ 2H.
- Assembly Process: Detachable furniture must be equipped with complete accessories (screws, nuts, wrenches), and the accessory material is stainless steel; after assembly, there is no looseness, no abnormal noise, and the connection is flat.
III. Standardize Contracts and Payment Terms
1. 10 Core Clauses Must Be Included in the Contract
- Product Details: Product name, model, specification, quantity, unit price, total price (tax-included/tax-excluded, with tax rate clearly specified), material, process, color (color cards and sample confirmation forms can be attached as appendices).
- Quality Standards: Environmental protection level, inspection standards, process requirements, agree that “bulk goods must be consistent with samples,” and the sample confirmation form shall be used as an appendix to the contract.
- Delivery Cycle: Clearly specify the production date, shipment date, and arrival date, and agree on the “late delivery compensation standard.”
- Packaging Requirements: Clearly specify the packaging material (such as moisture-proof film + foam + solid wood frame + wooden box) and packaging standard (such as each piece of furniture is independently packaged, the thickness of the solid wood frame ≥ 2cm, and the wooden box is waterproof). Agree that “if the product is damaged due to packaging damage, the supplier must replenish the goods unconditionally.”
